POLICIES AND PROCEDURES COURT-APPOINTED COMMUNITY SERVICE (CACS) VOLUNTEERS

You are expected to present a clean and neat appearance to provide safety and protection and to identify your volunteer status staff to the public. This dress code is intended to set standards and establish guidelines.

Close-toed shoes are required at all times.
Tube tops, bare midriffs, torn outer garments, low-cut blouses/shirts, and/or visible undergarments are not permitted.
Shorts are allowed if they are knee length and tailored.
Waistbands of pants must be worn at the waist; underwear may not be exposed.
Blouse/shirt must tuck into pants or be long enough to cover the waist at all times while lifting/bending.
Assigned name badge must be visible at all times.
Clothing may not promote or contain messages, brands, or products that may be construed as offensive, inflammatory, or otherwise divisive, whether explicitly stated or implied.

If you require an exception to AAHS's dress and grooming code for a religious practice, please contact AAHS’s Volunteer Manager to discuss arrangements for an accommodation.

Standards of Conduct

To assure orderly operations and provide the best possible work environment, AAHS expects you to follow rules of conduct that will protect the interests and safety of all employees, volunteers, guests, animals, and the organization.

While it is not possible to list all the forms of behavior that are considered unacceptable in AAHS’s workplace, the following is a list of non-exclusive examples of infractions of rules of conduct that will result in disciplinary action, up to and including immediate termination of your CACS volunteer engagement, as appropriate:

CELL PHONES ARE NOT PERMITTED DURING CACS WORK TIME. Unauthorized use of a cell phone will result in a loss of accountable time and may result in the termination of your CACS engagement. Please relinquish your phone to AAHS personnel at time of check-in, where it will be safely stored until you take an authorized break or check-out for the day.
Loitering and excessive social conversation with staff, volunteers, or other CACS volunteers is discouraged.
CACS volunteers are not permitted behind service counters and must remain in authorized areas, as directed.
Visitors are not permitted while performing CACS hours.
Reckless and/or imprudent behavior is not permitted.
Supplies, equipment, and spaces are to be treated with care and respect. Vandalism of private or AAHS property and spoiling or wasting materials and supplies is not permitted.
Smoking is prohibited within and/or around any AAHS facilities. This includes smoking e-cigarettes, vaporizers, and/or chewing tobacco.
CACS volunteers are not to interact with the animals in AAHS’s care unless requested to do so by an AAHS staff member.

Work Regulations & Requirements

You must be at least 18 years old to perform court-appointed community service hours.
Shifts are available Monday-Sunday from 9 AM to 6 PM.
Sign-ups for CACS shifts are available through SignUp.com exclusively.
You must sign up by 8am that morning otherwise all shifts will be closed after that.
Walk-in shifts are not available.
You MUST contact the Volunteer Manager if you would like to deviate from your shifts after 8am.
You MUST ask the Volunteer Manager if you want to come in early or if you want to stay late. If you do not have approval to come in early or stay late, you may not do so. If you do, then those hours WILL NOT COUNT.
DO NOT call the shelter for approval. You must contact the VM via email. (See below)
You are responsible for communicating with the Volunteer Manager at least 24 hours in advance if you are unable to fulfill your shift commitment or if you will be more than 15 minutes late to your assigned shift. You may communicate tardiness/absenteeism via email at steven@athenshumanesociety.org. Failure to notify the Volunteer Manager of your intentions in a timely manner will be considered a no call/no show. Three no-shows/no-call incidents will result in immediate termination of the CACS agreement between you and AAHS.
You are to remain in the building at all times unless asked to perform a task outdoors.
You are to use the public restroom located in the adoption center lobby.
Unless a documented physical, medical, and/or chronic medical disability prevents you from doing so, work assignments are to be completed as requested and are not open to negotiation.
AAHS is not responsible for lost, stolen, or damaged property.
To remain active within our volunteer system, we require five (5) hours of service to be completed monthly. If, at any point, a volunteer has two consecutive months of inadequate volunteer time, that volunteer will become inactive within our system. If this occurs, volunteers have one year to contact the volunteer coordinator to become re-established within our system. After a year of inactivity, volunteering is still encouraged, however the training process must begin anew.
This Handbook supersedes all previously issued handbooks and any policy statements or other information that is inconsistent with the policies described here. AAHS reserves the right to change policies and procedures; the content of this Handbook and the descriptions of current policies and procedures do not constitute a contract between AAHS and any volunteer. While we will make every effort to inform you of any changes, it is ultimately the responsibility of the volunteer to stay current on the policies and procedures. This can be achieved by always reading the “Details'' portion of the SignUp.com role for which you are signing up.

Documentation & Recordkeeping

Maintaining mandatory Community Service Time Log is your sole responsibility. This includes, but is not limited to, obtaining required signatures from designated AAHS staff verifying hours/attendance daily.
Upon arrival, check in with an AAHS staff member, who will record your sign-in date/time AAHS’s timekeeping log is separate and in addition to the Community Service Time Log you are required to maintain.
Upon leaving, sign out with an AAHS staff member, who will record your sign-out date/time. Failure to sign-out with an AAHS staff member will result in forfeiture of hours.
Once your CACS hours are complete, the Volunteer Manager will provide an authorized signature for your Community Service Time Log.
If, in addition to the Community Service Time Log, written verification of hours on business letterhead is requested, a minimum of one week (7 days) advance notice is required. Requests submitted prior to seven days may not be fulfilled. You must provide the email of your probation officer if written completion is requested.
If you misplace CACS verification documents, a service fee of $25.00 will be charged to reconstruct your service hours worked.

Rest & Meal Breaks

Rest and meal breaks may be taken upon approval from the Volunteer Manager or authorized AAHS staff member and following signing out of active timekeeping. Failure to sign-out of active service by an AAHS staff member will result in forfeiture of hours.

Acknowledgement & Receipt

I affirm that I am at least 18 years old. I confirm that I have read and agree to comply with all aspects of the AAHS Court-Appointed Community Service Worker Policies & Procedures. I understand that performing court-appointed community service hours with the Athens Area Humane Society is at the

mutual consent of AAHS and myself, and either party may terminate that relationship at any time, with or without cause, and with or without advance notice. I agree to treat AAHS staff, volunteers, guests, and shelter animals with kindness, respect, and dignity at all times and can expect the same in return.

AAHS reserves the right to terminate any arrangement for community service if the worker is in any way unproductive, disruptive, or in violation of this agreement.
